Business Context

A mid-sized plastic injection moulding manufacturer in Selangor runs three shifts across six moulding machines, producing components for automotive and consumer electronics clients. Each shift supervisor was responsible for compiling machine output, downtime, reject counts and cycle times into a daily production report for management.

The Workflow Problem

  • Shift supervisors recorded machine output, rejects and downtime on paper logsheets at the end of each shift.
  • One admin staff member spent up to 3 hours every morning re-typing the previous day's three shift logsheets into a master Excel workbook.
  • Formulas in the Excel workbook broke frequently when staff inserted rows incorrectly, causing management to receive delayed or inaccurate daily output figures.
  • There was no visibility into machine-level efficiency or downtime causes until the manual report was finished the next day — by which time the production window had already passed.

How We Implemented It

  1. 1.Replaced paper logsheets with a mobile-friendly Google Form that each shift supervisor fills in directly at the machine using a factory-floor tablet, with dropdown fields for machine ID, mould number, output quantity, reject quantity and downtime reason.
  2. 2.Connected form responses to a structured Google Sheet with validation rules and automatic timestamping, removing manual re-typing entirely.
  3. 3.Built a live Looker Studio dashboard on top of the Sheet showing daily output by machine, efficiency trend over time, downtime breakdown by cause, and reject rate — refreshed automatically as new shift data comes in.
  4. 4.Set up an automatic email summary sent to the production manager at 7 AM daily, before the morning shift briefing, with the previous day's key numbers.

Business Context

A metal fabrication workshop in Johor supplies structural and custom components to construction and industrial clients. Quality control inspections and customer complaint handling were both run on paper, filed by hand into physical folders organised loosely by month.

The Workflow Problem

  • QC inspectors filled out paper inspection forms for every job, including hand-drawn defect sketches and handwritten notes, which were then filed in binders.
  • When a customer complaint came in, tracing which inspection record, job order and operator were involved could take up to 3 working days of searching through physical files.
  • There was no structured way to see whether a defect was a one-off or part of a recurring pattern across jobs, so root-cause analysis was inconsistent.
  • Corrective and Preventive Action (CAPA) follow-ups were tracked in a notebook, so it was common for open complaints to be forgotten or closed out without a documented resolution.

How We Implemented It

  1. 1.Digitalized the QC inspection form into a mobile Google Form that inspectors complete on-site, including photo attachments of defects captured directly from a phone or tablet.
  2. 2.Every submission is automatically logged with a unique job reference, inspector name, timestamp and defect category, replacing the paper filing system entirely.
  3. 3.Built a CAPA tracking dashboard in Looker Studio that shows every complaint's status (Open, In Progress, Closed), root cause, assigned owner and resolution date, searchable instantly by job number or customer name.
  4. 4.Added an automatic email notification to the QC manager whenever a complaint status changes, so follow-ups are no longer dependent on someone remembering to check a notebook.

Business Context

A food and beverage production facility in Penang runs six departments — production, quality, warehouse, sales, procurement and maintenance — each of which kept its own independent Excel file for monthly reporting to management.

The Workflow Problem

  • Each department head maintained a separate Excel workbook with its own layout, formulas and naming conventions, none of which were connected to each other.
  • At month-end, one staff member manually copied figures from all six files into a consolidated management report — a process that took roughly 4 working days.
  • Because the source files were edited independently throughout the month, numbers were sometimes inconsistent by the time they reached the consolidated report, requiring further back-and-forth to reconcile.

  2. 2.Built a single Looker Studio KPI dashboard that pulls live from all six sheets, showing production output, quality pass rate, warehouse stock accuracy, sales revenue, procurement lead times and maintenance downtime side by side.
  3. 3.Automated the monthly consolidation that previously required manual copy-paste, so the report updates continuously instead of being rebuilt from scratch each month.
  4. 4.Gave each department head edit access to only their own section, while management retains a read-only view of the full cross-department dashboard at any time.
